ONE THIRD (whose head office is located at 16 rue sainte Apolline, 75002 Paris, France, registered with the Trade and Companies Register of Paris under number 824582480), trading as URBAN CAMPUS (“ONE THIRD”, “URBAN CAMPUS”, “us” and “our”) operates this website: https://urbancampus.com/ (the “Site”). The Site is accessible to any user (“User” or “You”).

As part of its operations, Urban Campus collects and manages personal information about users of its digital platforms (websites and mobile applications), rental applicants and residents of its buildings.

This Data Protection Policy as well as our Terms and Conditions and the Cookies Policy apply to browsing the Site. The purpose of this Policy is to present in a clear, concise and accessible manner all the processing carried out on your data by Urban Campus. It informs you precisely about the ways in which this data is used, your associated rights and the means available to you to exercise them simply and easily.

The Personal Data collected will be processed in accordance with the provisions of the applicable regulation related to the protection of personal data. We invite you to read this Data Protection Policy carefully.

Urban Campus adopts a transparent approach by clearly informing all those concerned by the collection and use of their personal data, including users of digital services, housing applicants and tenants, who must themselves inform the people living under their roof. 

Each use of personal data is carried out for precise, legitimate and explicitly identified purposes. Furthermore, Urban Campus takes great care to collect only the information that is necessary, relevant and proportionate to these purposes, while ensuring that it is regularly updated and promptly rectified or deleted in the event of inaccuracy.

01.WHAT DATA IS COLLECTED AND USED?

In the context of personal data processing, Urban Campus mainly collects and processes the following categories of personal data:

  • Personal identification data (marital status, contact details, property address, etc.);
  • Professional data (socio-professional category, nature of professional activity, etc.) ;
  • Personal data (family situation, household composition, etc.) ;
  • Data relating to housing and lease life (lease contract reference, type of lease, tenant file, occupancy, receipts, insurance, monitoring and control of rents and charges, complaints, residential tranquility and site security, social support, etc.);
  • Economic and financial data (income, bank details, financial situation, outstanding payments, sublease information, etc.);
  • Connection and browsing data (websites, online accounts, mobile applications, etc.);.
  • Property information (address, type of property, description, photos);
  • Data materializing the sublease (information and findings related to the sublease and evidence) ;

Urban Campus ranks applicants for the same housing unit to help make allocation decisions. The ranking criteria used are: personal situation, location and financial criteria.  Should these criteria change, Urban Campus will modify the above list to inform people of the new criteria.

As part of the fight against housing allocation fraud, Urban Campus will also process all or part of this data, as well as data relating to anomalies, inconsistencies and behavior constituting fraud, and in particular the status of proven fraud.

Urban Campus may be required to collect information relating to health or disability in the context of social assessments, specific home improvements, or in the event of physical injury to a tenant/occupier or a third party in the event of a claim affecting the home. In such cases, whenever necessary, the company will ask for the person’s consent before collecting such data.

Urban Campus may also need to process data relating to the management of a dispute, acts of incivility, or even data relating to criminal offences or convictions, such as data relating to removal measures, in order to ensure the peace and safety of individuals.

Urban Campus does not process personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, nor genetic or biometric data for the purpose of uniquely identifying a natural person.

When the collection of data is made compulsory for the granting of housing, or to meet legal or regulatory obligations, the person concerned will be informed. The consequences of failing to respond will be specified.

It is also specified that personal data communicated by you to Urban Campus may be used to update data already held by Urban Campus for the same purposes as those initially pursued.

The information held by Urban Campus in the context of current contracts may be used in the examination of any new housing application, particularly in the event of mobility.

02.THE ORIGIN OF THE DATA WE PROCESS

Declarative personal data

This concerns the personal data you provide in the context of :

  • Applying for housing ;
  • Exchanges with Urban Campus departments during checks carried out to prevent fraud in housing allocations and the fight against prohibited subletting;
  • Entering into and managing a lease contract;
  • Creating an account on the Urban Campus websites or mobile application;
  • Condominium management ;
  • Interactions you may have with our services via social networks;
  • Reporting a claim ;
  • Contacting our departments and service providers by telephone, post or e-mail;
  • Contact via our various communication services (mobile application, websites);
  • Responses to satisfaction surveys and regulatory surveys;
  • Taking part in an event or meeting;
  • Rental management of dwellings and their accessories, including security and residential tranquillity;
  • Follow-up on unpaid bills.

Personal data generated by your activity

The execution of your lease contract generates data about you, such as your balance, receipts, any outstanding payments and payment plans, etc…

Inferred or derived personal data

Certain data are generated and/or calculated from the first two categories of data, such as the score obtained in the ranking of applications, which helps in the selection of applications (score calculated from the declarative information provided, which helps in the decision to allocate a home).

Personal data about you from third parties

Personal data may also come from :

  • Our partners: town halls, prefectures, family allowance offices, social services, tax offices, etc;
  • Our subcontracted service providers with whom we have signed a contract to work on our behalf, such as IT service providers, maintenance and operating companies, on-call service providers, etc.
  • As part of the fight against fraud, Urban Campus may take external references from the applicant’s employer and/or landlord, or from real estate rental sites.

Data collected by cookies

We collect the following browsing data through cookies dropped on our Site:

The legitimate interest is justified by the respect of equal treatment between candidates, the social interest and the reputation of Urban Campus.

  • Consistency checks and verification of documents and declaratory information submitted. These checks and verifications may be carried out when the application is examined, or at a later date if any inconsistencies are detected, or if elements are discovered that could justify them. In the event of inconsistency, the lease may not be concluded.

Legitimate interest in ensuring the proper functioning and audience of websites and mobile applications

  • Statistical analysis of traffic and audience measurement of websites and mobile applications exempt from consent.

Legitimate interest in managing its relationship with contacts

  • Management and follow-up of contacts with visitors to websites, mobile applications, applicants and tenants.

Legitimate interest in ensuring that tenants meet their obligations

  • The fight against unauthorized subletting by tenants of housing managed by Urban Campus (detection, analysis, investigation, prevention). Tenants’ attention is drawn to the fact that subletting is forbidden and may, if proven, lead to the legal termination of the lease.

04.WHO ARE THE RECIPIENTS OF YOUR PERSONAL DATA?

The personal data collected, as well as those collected subsequently, are intended for Urban Campus in its capacity as data controller and for its authorized internal departments, each for what concerns them, and for its subcontractors.

Urban Campus ensures that only authorized persons have access to your data for the purposes of their duties.

You are informed that your data may be communicated to our contractual partners, as well as to our service providers, each for what concerns them and to the authorities legally entitled to know them.

In the event of the sale of a property under Urban Campus management or the termination of a management contract, tenant data may be transmitted to the new lessor or manager in order to organize, prepare and ensure the assumption of lease commitments.

In addition, Urban Campus may pass on your contact details to allow certain service providers (maintenance, work, etc.) to intervene in your accommodation.

Your Personal Data may, if necessary, be communicated to empowered authorities only upon presentation of a judicial or administrative requisition and in the cases provided for by the applicable law.

06.WHAT ARE YOUR RIGHTS?

In accordance with current legislation, you have the right to have access to, modify or delete your Personal Data as well as the right to limit or to object to their processing. You will also be able to exercise your right to portability to obtain a copy of your Personal Data in a structured, usable and machine-readable format, so that it may be transmitted to a third-party, if such request is eligible.

07.HOW LONG ARE YOUR PERSONAL DATA KEPT?

Your Personal Data is stored on URBAN CAMPUS’s servers and kept for the duration strictly necessary for the above purposes.

In particular, your Personal Data is retained 3 years after your last contact with URBAN CAMPUS;

Data collected by cookies are kept for a maximum period of 25 months.

08.WHAT CONFIDENTIALITY AND DATA SECURITY MEASURES ARE IN PLACE?

Urban Campus attaches particular importance to the security of your personal data. 

Urban Campus implements technical and organizational measures aimed at establishing and maintaining a level of security that is best suited to the risks it has identified: this security aims in particular to prevent personal data from being altered, damaged or disclosed in an unauthorized manner to third parties. 

When developing and designing, or selecting and using, the various tools for processing your personal data, Urban Campus ensures that they offer an adequate level of protection for the data processed. 

Urban Campus implements measures that respect the principles of protection by design and protection by default of the data processed.

In the event of recourse to a service provider, Urban Campus will only communicate personal data to the latter after having obtained a commitment and guarantees on its ability to meet these security and confidentiality requirements.

In compliance with its legal and regulatory obligations, Urban Campus concludes contracts with its subcontractors that precisely define the terms and conditions of personal data processing by the latter.

09.ARE THE DATA TRANSFERRED OUTSIDE THE EUROPEAN UNION?

Your Personal Data are stored on our servers or the servers of our technical service provider, hosted within the European Union.

Your Personal Data may be transferred to servers located outside the European Economic Area (EEA) whose level of protection is not considered adequate by the European authorities. Where applicable, URBAN CAMPUS undertakes to regulate such transfers in accordance with the applicable legislation.

URBAN CAMPUS reserves the right to modify this Data Protection Policy at any time. We encourage you to check it regularly. Nevertheless, in case of substantial modification, an information message will be sent to you by email.
